Experience in Accounts Payable required.
Extensive experience with Microsoft Excel.
Accounting experience in hotels strongly preferred.

Summary

The A/P clerk will process all hotel, corporate invoices for payment using Buy Efficient PO’s. Keep and update all contracts/general liability insurance. Maintain off site storage records. As well as providing copies of folio requests for and from prior guests, and interacting with guest/co-workers via telephone conversations, and email and fax.

Essential Functions

Includes the following. Other duties may be assigned.

1. Compiles invoices for payment using Buy Efficient PO’s.
2. Verifies proper coding, check calculations, and authorization of invoices.
3. Matches invoices with corresponding purchase orders.
4. Prints and distributes payment checks.
5. Verify and prepare daily deposit(s).
6. Reconciles monthly account statements.
7. Maintain a file for all invoices that require use tax and submit to hotel controller on a monthly basis.
8. Attend department meetings.
9. Prepares monthly accounts payable reports.
10. Preparation of credit applications as required.
11. Prepare Gift Certificates and maintain an accurate log of all that are issued.
12. Maintain all files for contracts and notify the department manager when they are about to expire.
13. Maintain all files for general liability insurance for all venders.
14. Maintain all off site storage records (destroy dates, retrievals and pick-ups).
15. Prepare all 1099’s for all venders that require one.
16. Provide copies of guest folios per guest requests.
17. Respond to and resolve any billing questions pertaining to individual hotel guests.
18. Prepare bank contracts and funds for all outlet cashiers.
19. Assist with cashier bank audits on a monthly basis.
20. May be required to work weekends and holidays
21. Other duties and responsibilities may be assigned.

Physical Requirements

While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or crawl.
The employee must frequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
While performing the duties of this Job, the employee is occasionally exposed to wet and/or humid conditions and risk of electrical shock. The noise level in the work environment is usually moderate.
